Online Round Robin Overview
The
Compugene Software Online Round Robin (Mishloach Manot)
Fundraising System enables you to conduct your Round Robin fundraiser
online, without requiring the purchase or installation of any
additional software. All that is required is a browser and an
Internet connection!
That's right: all the tasks required to conduct a profitable and
successful Round Robin, such as:
- creating your selection list of names
- sending notification e-mails to users with their ids and passwords
- enabling users to login to the system to make their Round Robin selections
- calculating reciprocation, if requested
- producing gift basket scrolls and
- billing
are now available to you in a totally online and easy-to-use solution!
As an additional feature, for members who do not have internet access, you can provide a printed selection list that can be filled out by hand.
Please view the
Utilities section for information on how to do this.
The Administrator functions explained in this Help file for the
Total Online Round Robin are accessed via the Navigation bar, which
will appear at the top of most of your screens.
This Help/Tutorial guide can be used to get additional information
for a particular function you wish to perform, or can be read completely as a total guide to administering the Round Robin.
The organization of this help file resembles the structure of the
Navigation bar - for example, indented functions in the contents
list to the left refer to functions which appear on the Navigation
bar when you click the main function. For example, to see
information about the
Build Your Database function, which is
in the
Getting Started section of the Navigation bar, simply
click on the Getting Started icon to the left and then click on the
Build Your Database subject which will appear below the Getting
Started icon.
It is recommended that new users read all subjects in this help
file to familiarize themselves with the terminalogy that is used (see Definitions of Terms, below) and the functions and options that
are available.
Definitions of Terms
Administrator | The name of a person who has been designated to have special privileges to set and control the parameters of your Round Robin.
You can have more than one administrator for your organization and an administrator can be a member but does not have to be a member (for
example, an administrator could be the organization's secretary). |
All | The All option can be chosen by a member to indicate that the member wants to give to all other members in the Round Robin. Checking
the All option is equivalent to checking the selection box next to each individual member. |
Basket | A gift basket or gift item that is distributed to a member after the Round Robin has ended and comes with a Scroll that indicates
the names of the members that selected the receiving member in their Round Robin selections. |
Database | The table where your member data is stored on-line so that members can be authenticated for login to the Round Robin. |
Discount | You can enable early bird discounting by specifying a date that early discounting will end in your Charge values.
Some organizations use this feature to encourage members to make their selections and pay early. |
Locked-in | For a member to take advantage of an early-bird discount, he must make his selections before the deadline date and
know that his selections are then frozen and cannot be modified. |
Member | The name of a person in your Round Robin
database, created from your input data, who is able to select other members and is able to be selected by other members. |
Non-Participant | A member who has not made any selections and did not choose All or the reciprocal option. |
Notifying E-mail | An e-mail that is sent to a member with a valid e-mail address that contains the login id and
password assigned to that member and the web address of the Round Robin so the member can login to the Round Robin and make their selections. |
Participant | A member who has made at least one selection or has chosen All or the reciprocal option. |
Recip (Reciprocal) | An option that a member can choose to ensure that his selections will include any member that has selected him.
The reciprocal values are computed after all selections have been made and the Round Robin ends. | |
Scroll | A document distributed to a member after the Round Robin that lists all the members that have chosen to give to this member |
Section | A group of member names that appears on the Selection window under it's own heading, such as Members, Teachers, Parents, etc.
You can define up to 5 different sections and assign different charging values for each section. |
Symbolic | A reserved word beginning with "&ew" that can be used in a template, such as the E-Mail Notification template,
and whose value will be determined at the time the template is used and such value will be substituted for the "&ew" word in the template. For example,
the civil date of next Purim is represented by the symbolic &ewpurim and when used in a template, every occurrence of &ewpurim in
the template will be replaced by the civil date of next Purim.
|
Template | A template is a model for an e-mail or other document in which symbolic values can be used to represent actual values that
will be substituted at the time the template is used. For example, the last name of a member can be represented using symbolic &ewlast
and when a template containing &ewlast is processed for a member, the member's actual last name will replace the symbolic &ewlast
whereever it appears in the template. |
Welcome Message | A message that greets your members after they successfully log in to the Round Robin. You can customize this
message to contain whatever information or greeting you would like your members to see. |
