Library Feature


The Library Facility is used to enter and display information about items in your library. These can be any of the various types of media as shown in the sample window listed below:



Data Entry Boxes:

Author The name of the author of the work
Title The title of the work
Catalog Number Your catalog number of this item
Date Acquired The date you acquired the item (defaults to today’s date when you enter new item)
Location The location in your facility where the item is located
Description A brief description of the item
Donated by If donated, the name of the person donating the item
Reason If donated, the reason for the donation, such as “In honor of”
Donated for If donated in honor/memory of another, the name of the person honored/memorialized
Date removed The date the work was borrowed
Who removed The name of the borrower
Date due The date the work is due back
Media Type Choose one of the listed media types
Print this dedication? Check this box if you want a dedication printed for this item when printing All dedications


Note: you can enter data in lower case in the Title, Author, Donated by, and Donated for boxes and the system will automatically capitalize the fields as per titling conventions (for example, in the title “World of Our Fathers”, the word “of” would not be capitalized unless the user himself capitalized it; but in the title “Of Mice and Men”, the word “of” would be capitalized, since it is the first word of the title).

Menu Items

File
Use the File|Backup menu item to periodically back up your library data. The data in the library database is NOT backed up at the same time that you back up your membership database. You can use the File|Restore menu option to restore library data from a backup file that you previously created.

Sort
Library records can be sorted via the Sort menu selection by any fields on the window. After you sort on a different field, the system will make that field the top one displayed on the window. When you run the Library report (see below), the report will be printed in the same Sort order that you select via this menu choice.

Print Label

Dedication Click here to print a dedication label for this library item
Ownership Click here to print an ownership label for this library item
All Dedication Click here to print dedication labels for all library items that have the “Print this dedication” check box checked (see above in Data Entry Boxes section)
All Ownership Click here to print ownership labels for all items in your library

Buttons

First
Click here to display the first item in your library, based on which field is the sort field.

Last
Click here to display the last item in your library, based on which field is the sort field.

Previous
Click here to display the previous item, based on your sort order.

Next
Click here to display the next item, based on your sort order.

Delete
Click here to delete the displayed item.

Update

Click here to update the displayed item after you have made changes to any of the data entry boxes.

Find
Use the Find command button to find a library entry where the search criterion is the field that the library records database is currently sorted on. If you want to find an item based on a different criterion, simply use the Sort menu item and re-sort the records in the order you require. Once records are sorted by the field you wish to search, simply enter the full or partial name (beginning part) of the item you are searching for in the proper box. For example, if you want to find a author, make sure the records are sorted by author, then enter either the full name of the author or the beginning part of the author’s name in the Author box on the Library window and click the Find button. The system will display the record that contains the closest name matching the full or partial name that you entered.

Return
Returns to the main window.

Report

Produces a report listing the items in your library collection. The items in the report will be printed in the sort order as specified via the Sort menu item (see above).

Refresh
Returns to the main window.
