Notification Feature


The Notification feature consists of two parts: the Notify Window, which is accessed from the View window, and the Notifications Pending window, which is accessed via the Notify button of the Main Window toolbar.

The Notify Window, accessed via the Notify button of the View Window, allows you to view, add, and update notification information pertaining to the member/non-member currently displayed in the View Window.

The Notifications Pending window displays a list of notifications that are pending, allows you to print the notifications to be sent out, and allows you to select reports to run about all notifications stored in your database.

Notify Window

The Notify window is accessed by clicking the Notify button on the View window. It looks like this:


Controls on the Notify window are:

Member this will display the last name of the member who is to be notified.
Who to Notify select the member of the family who is to be notified. You also indicate if this family member is a male or female.
Relative Name enter the first name of the deceased relative.
Relationship select the relationship of the deceased to the person being notified
Relative Name 2 enter another name that the deceased was known by, if any
Relative Hebrew Name enter the Hebrew name of the deceased; use the Keymap menu option to display a Hebrew key map.
Hebrew Date, Month select the Hebrew date and month of the date of death; the system will convert this to Hebrew characters and display this in the next box.
Original Date this is the original date of death as would be shown on a civil calendar (Jan-Dec, dd, yyyy)
Next Yahrzeit
the system automatically computes the next yahrzeit date as it would be shown on a civil calendar
Other Family clicking this button allows you to link this yahrzeit to another member or members of your institution. This way, other members can be notified via the same information that you entered under this particular member’s name and you don’t have to enter it all again.
Previous if enabled, pressing this button will move you back to a previous yahrzeit for this member and display it
Next if there is another yahrzeit for this member in the forward direction, pressing this button will move you to it and display it; if there are no other yahrzeit records in the forward direction for this member, the window will be cleared and you can use it to enter new yahrzeit data.
Preview pressing this button will display a preview of what the notification will look like when you print it
Delete pressing this button will delete the currently displayed yahrzeit record for this member
Update pressing this button will update the currently displayed yahrzeit record for this member
Return pressing this button will return you to the View window
Keymap menu option This will display a virtual keyboard of Hebrew letters at the bottom of the window to allow you to easily enter Hebrew characters in the Hebrew text boxes of the Notify window. You can use the keymap in two ways: either depress a Hebrew character on the keymap and it will be placed in the text box that your cursor is pointing to, or depress the corresponding English letter on your keyboard to get the Hebrew letter listed above it on the keymap to be placed in the text box that your cursor is pointing to. This allows you to type Hebrew letters simply and easily and obviates the need for a Hebrew keyboard overlay.
Print menu option Allows you to select Printer or Preview as your option without having to display the Options window.



Notifications Pending Window



Clicking the Notify toolbar button on the Main Window displays the Notifications Pending Window, which displays names of members who are due to be notified of a yahrzeit within the user-specified number of weeks. (This window can also be displayed by double-clicking the Notifies Pending panel on the Main Window). The number of weeks you have chosen can be viewed and set on this window. If a member is on the display to be notified, pressing the Print button next to the member name's notification information will print the notification letter. In addition, the system internally stores addressing information for each notification that you print so that you can later click the Labels button on this window or the Actions|Print Labels menu item on the Main Window to print addressing labels for all the notifications that you chose to print. You can always get a preview of a notification before printing by clicking on the notification information to the left of any displayed Print button. Remember that Notification information itself is entered via the Notify Window (see above), which is accessed via the Notify button of the View Window.

Controls on the Notifications Pending Window are:

Weeks Notice Displays the number of weeks notice you want before a Yahrzeit will become pending. You can change this number here.
First A maximum of 5 notifications can appear on one window. If there are more than 5 notifications, you will see the More… indicator at the bottom of the window and the First and More buttons will be enabled. Clicking the More button will take you to the next 5 notifications and clicking the First button will take you back to the first 5.
More If there are more than 5 pending notifications, clicking the More button will take you to the next 5 notifications and clicking the First button will take you back to the first 5..
Print All Prints all pending notifications displayed on this window and any additional windows (as indicated by the More… indicator being displayed).
Labels This button will print labels for all notifications that have been selected for print thus far (by either using the Print All button or the Print buttons next to the different notifications). This is equivalent to clicking the Actions|Print Labels menu item on the Main Window
Report This button prints a report of all notifications in your database. Use the Report Sort Order menu option to determine the sort order of the report.
Help Displays this Help information
Return Returns you to the Main Window
Print button(s) Clicking a Print button next to one notification will print just that notification; use the Print All button to print all pending notifications.
Report Sort Order menu item Use this menu option to determine the sort order of the report
Selection menu item Allows you to choose to print just men only – useful for determining which members are eligible for leading services

Note: Whenever you start the system, a message is placed on the main application window to indicate how many pending notifications are currently awaiting action. To act on these pending notifications, simply click the Notify button on the Main Window toolbar and you will see which notifies are pending. The Notifies Pending count appears as x/y, where x is the number of members still to be notified and y is the total number that need to be notified within the notify period (whether already notified or not).
