The SCHEDULE feature consists of two
parts:
1- the Schedule button on the View window, which opens the
Add/Update Event window that allows you to schedule events
for members, and
2- the Schedule toolbar button on the Main window, which opens the
View/Set Schedule window to view existing scheduled events
and also to schedule System events.
System events are events that are controlled by your institution
itself (and incur no fees), such as Board meetings, membership
meetings, awards ceremonies, graduations, etc.
From the View/Set Schedule window, you can view previously
entered data regarding scheduling of facilities on various days and
for various occasions. You can also schedule recurring system
events, such as once a month/week/year and also by day, such as
every Monday, Tuesday, etc. This reserves your various facilities
for institutional use and ensures that no conflicts will take place
versus other system events and/or privately scheduled events. On
the View/Set Schedule window you can display events for the current year, or any year
desired, or all events scheduled at any time. You can also
view/print reports based on members' birthdates, which are entered
into the system via the Family
window.
Add/Update Event Window
When you click the Schedule button on the View window or
double-click a cell in the Schedule column of the Accounts
Receivable window, the Add/Update Event window is
displayed:

Controls on the Add/Update Event window are:
Date of Use: Enter the date of the event and the system
displays the day of the week of the date you entered.
Time: Enter the time of the event as Hour, minute and choose
AM or PM
Duration: Enter the length of time of the event, in days,
hours and minutes.
Facility: Choose the name of an existing facility or enter
the name of a new facility where the event is to be held.
Type Function: Choose the type of function from the list or
enter the name of the function that the facility is being reserved
for.
Fee: Enter the fee for the use of the facility.
Amount Paid: Enter the amount paid for the use of the
facility. The fee will display on the Accounts Receivable window in
the Schedule column and any amounts paid will display when you
double click the Amounts Paid column of the Accounts Receivable
window. The amount paid can also be entered via the Accounts
Receivable window. In addition, when you double-click the Schedule
column of the Accounts Receivable window, the Add/Update Event
window will be displayed.
Previous: If there are previous events scheduled for this
member, this button will display the most immediate previous
event.
Next: If there are any following events scheduled for this
member, this button will display the most immediate next event.
First: this button will display the first event for this
member.
Last: this button will display the last event for this member.
Update: After you make changes to any data on the window, if
you click this button the data will be updated in the database.
Create New: Clicking this button will clear the window and
allow you to enter data for a new event.
Delete: Clicking this button will delete the displayed event
from your database.
Add to Calendar: Clicking this button will place the displayed
event into your Microsoft Outlook calendar.
Return: Clicking this button returns you to the previous
window, either the View window or the Accounts Receivable window
and does not update the record. You must click the Update button to
ensure that any changes you made to the window will be saved in
your database.
View/Set Schedule Window
Clicking the Schedule button on the Main window toolbar displays
the View/Set Schedule window:

Controls on the View/Set Schedule window are:
Birthdays check-box: check this box to search birthdates
instead of event dates; birthdates are entered in the Family
window
Sort by Facility check-box: check this box to print the
display of events sorted by facility name rather than by event
date
Search type: choose one of the following values from the
list provided; this value will work in conjunction with the search
value to determine your search criteria when searching for schedule
data.
| All | all schedule/birthdate data in the database is to be displayed |
| One date | display only schedule/birthdate data for events that are occurring on a particular date; specify the full date as mm/dd/yy in the Search value field |
| Month/year | display only schedule/birthdate data for events that are occurring in a particular month and year; specify the month and year as mm/yes in the Search value field |
| Month | display schedule/birthdate data for events occurring in a particular month; specify the month in the Search value field |
| Today and later | display schedule/birthdate data for events occurring today and after today |
Search value: enter the proper search value based on the
selection chosen in the Search Type (see above)
Display: display the result of your search in the text box
on the Schedule window
Report: display the result of your search in the text box on
the Schedule window and also on the Printer if preview mode is off
or on a Preview window if preview mode is on (see Options for
information about Preview mode)
System Events: click this button to open an Add/Update Event
window to set up system events
Return: this button returns you to the previous
window
